The Challenge
A leading fashion retail chain operating across 15 stores relied on paper-based logs and spreadsheets to manage shared assets such as tablets, barcode scanners, and POS terminals. Store teams had limited visibility into asset availability, making it difficult to track who was using equipment and where it was located.
As the business expanded, missing assets, delayed check-ins, and manual reporting became recurring operational challenges. Store managers often spent significant time searching for equipment before opening shifts, while regional managers lacked a centralized view of asset utilization across locations.
The absence of a digital audit trail also created compliance and accountability concerns. Weekly asset reports were manually compiled, increasing administrative overhead and reducing the accuracy of inventory records.

Our Approach
Softree designed and implemented a mobile-first asset management solution using SharePoint Online, Power Apps, and Power Automate. The solution centralized asset inventory, transaction history, and maintenance records within SharePoint Lists, creating a single source of truth for all stores.
A Power Apps Canvas application enabled employees to check assets in and out by scanning barcodes or QR codes directly from their mobile devices. The application provided real-time visibility into asset status, availability, and ownership while simplifying daily operations for store staff.
To improve governance and automation, Power Automate workflows were introduced for overdue asset notifications, maintenance reminders, approval processes, and scheduled reporting. SharePoint REST APIs ensured seamless synchronization between the application and backend data, delivering accurate information across all locations.
