- The organization employee onboarding process depended heavily on emails, shared folders, spreadsheets, and disconnected internal systems. HR teams had to manually collect employee documents, verify submitted information, identify missing details, coordinate approvals, respond to recurring questions, and communicate status updates across multiple stakeholders. This created a fragmented process that required significant administrative effort and made it difficult for HR teams to maintain consistent visibility across onboarding cases.
- As hiring volumes increased, these manual activities became more challenging to manage efficiently. Pending approvals, incomplete documentation, repeated follow-ups, and information spread across different systems contributed to delays in completing routine onboarding activities. HR teams also had limited real-time visibility into where each onboarding case stood, making it harder to identify pending actions and address bottlenecks quickly.
- The organization needed a secure and scalable onboarding solution that could automate repetitive coordination, document handling, information requests, and routine communications while maintaining appropriate human oversight. Sensitive HR decisions and exceptions still required HR involvement, so the solution needed to balance intelligent automation with control and security.
Our Approach
Our Strategic Approach
- Softree Technology designed an AI-powered employee onboarding platform using an Azure-first architecture. AI agents evaluate employee context, identify required documents and tasks, coordinate actions, and trigger requests when information is missing.
- A RAG-based knowledge layer using Azure AI Search and a vector database provides access to approved HR policies, onboarding guidelines, benefits information, and internal procedures. LangChain and LangGraph support agent orchestration, while MCP Server provides controlled access to approved enterprise tools.
- The platform also uses FastAPI for backend services and secure integrations, with Azure services supporting document processing, identity, storage, security, monitoring, and application infrastructure.
