The client was an enterprise organization operating a mature Tableau Server environment supporting analytics across multiple business functions. Over time, the platform had grown into a complex multi-site environment containing a large portfolio of workbooks, dashboards, published data sources, users, groups, projects, permissions, and scheduled refreshes.
The organization wanted to transition from a customer-managed Tableau Server environment to a governed Tableau Cloud operating model while maintaining business continuity and minimizing disruption to users.
- Complex multi-site environment: Differences in site structures, projects, ownership, and access models made migration more difficult.
- Large workbook inventory: The volume of workbooks and dashboards made manual assessment and migration inefficient.
- Duplicate and obsolete content: Legacy content increased migration scope and needed to be rationalized before moving to the cloud.
- Complex permissions: Users, groups, ownership, and access models required careful mapping to avoid excessive or incorrect permissions.
- Data dependencies: Published and embedded data sources created dependencies that needed to be understood before migration.
- Private-network data: On-premises data sources required an appropriate cloud connectivity strategy.
- Scheduled refreshes: Existing refresh schedules needed to be recreated and validated.
- Custom integrations: Existing integrations and business-critical dashboards increased migration and testing requirements.
- Production cutover risk: A poorly controlled migration could affect business-critical reporting and user access.
Our Strategic Approach
Softree established a structured modernization approach covering discovery, content rationalization, cloud preparation, migration automation, controlled migration waves, testing, validation, and production cutover. The objective was to create a repeatable enterprise migration process rather than simply move content from one platform to another.
- Multi-Site Discovery: Built an enterprise inventory covering sites, projects, workbooks, dashboards, published data sources, users, groups, permissions, ownership, refresh schedules, dependencies, and integrations.
- Content Rationalization: Classified assets as Business Critical, Active, Duplicate, or Obsolete, allowing high-value content to receive migration priority while unnecessary assets could be excluded.
- Cloud Environment Preparation: Established the required project hierarchy, users, groups, ownership, permissions, authentication, security, connectivity, and governance standards.
- Migration Automation: Used supported Tableau migration capabilities, APIs, and automation where appropriate to reduce repetitive manual activities and improve consistency.
- Controlled Migration Waves: Migrated content in waves instead of moving the entire environment simultaneously, allowing lower-risk workloads to validate the approach before complex business-critical workloads.
- Testing and Validation: Validated workbook functionality, data accuracy, filters, parameters, calculations, visual rendering, connectivity, extract refreshes, permissions, and scheduled refreshes.
- Business Validation: Compared business-critical workbooks between Tableau Server and Tableau Cloud before approval.
- Production Cutover: Completed final migration, validation, production enablement, user transition, and stabilization before retiring the legacy environment.
